Printer setup

A printer that works from every device, and scans where you need it

The useful half of a printer is the scanner. Set up properly it turns a signed variation or a compliance certificate into a file in the right job folder in one press.

Included from the Starter plan

Melbourne-based, on the ground across the south-east and northern suburbs, with support in Canberra and remote setup Australia-wide.

What customers actually search for

  • printer setup small business
  • scan to email setup
  • network printer not working
  • wireless printer setup office
  • scan documents to cloud folder

Printers are the most-cursed object in any small office, and it is almost always the same three causes: connected to one computer instead of the network, drivers installed badly, and scan-to-email never configured because it needs SMTP settings nobody had. All three are a one-off fix.

The problem

What usually goes wrong

Connected to one computer

Plugged into the desktop by USB, so nothing prints unless that machine is on.

Address keeps changing

The printer gets a new network address after a power cut and every computer loses it.

Scan to email never set up

It is the most useful button on the machine and it needs mail server settings to work at all.

Nobody can print from a phone

Standing on site with a document that has to go out, and no way to send it to the office printer.

What you get

What printer & scanner setup includes

On the network, not one PC

Connected by Wi-Fi or cable with a fixed address, so it stops disappearing after a reboot.

Installed on every device

Drivers set up on each computer, plus printing from iPhone and Android.

Scan to email working

Configured against your Microsoft 365, Google Workspace or Zoho mail so scans arrive in an inbox.

Scan to your job folders

Where the machine supports it, scans land straight in OneDrive, Drive or Dropbox under the right job.

Sensible defaults

Double-sided and black-and-white by default, which quietly halves what you spend on consumables.

The details written down

Model, network address, cartridge numbers and scan settings recorded so reordering is not a treasure hunt.

How it works

Four steps, and you are live

  1. 01

    Tell us the model

Make and model, and whether it is currently on Wi-Fi, cable or USB.

  2. 02

    Network and address

Joined to the network with a fixed address so it stays findable.

  3. 03

    Install everywhere

Added to every computer and phone that needs it, then test printed from each.

  4. 04

    Scanning configured

Scan to email authenticated against your mail platform, and scan to cloud where the machine supports it.

FAQ

Printer & Scanner Setup — common questions

If it has Wi-Fi or a network port, almost certainly. Genuinely old USB-only machines can be shared from a computer, but at that point a cheap network printer is usually the better answer and we will tell you so.

The printer has to authenticate to a mail server to send anything, and since Microsoft and Google turned off basic authentication it needs either an app password or a proper SMTP relay. That is the step almost everyone gets stuck on.

From the same network, yes, straightforwardly. From out on a job, the practical answer is emailing it to the printer or saving to a cloud folder, and we set that up.

On most business machines, yes. It is genuinely the best reason to bother with a scanner — a signed variation photographed on a phone gets lost, one scanned into the job folder does not.

In Melbourne, yes. Everywhere else we do it over a remote session, which covers everything except physically plugging in a cable.
